Cleaning invoice template UK

A cleaner wants to understand invoice fields, payment terms and template cautions before billing clients.

Last reviewed: 9 August 2026

Quick answer

A cleaning invoice should make it easy for the client to see who is billing them, what work was done, when payment is due and how to pay. It should also avoid VAT wording unless VAT status is confirmed.

Invoice fields to include

  • Your business name, trading name if different, contact details and invoice number.
  • Client name, address or billing contact and the service date or period.
  • Clear description of the cleaning work, frequency or one-off scope.
  • Amount due, payment method, due date and any agreed deposit or part-payment terms.
  • VAT details only if the business is VAT registered and the wording has been checked.
  • Late-payment reminder wording that is firm, accurate and consistent with your terms.

Example invoice wording

For a weekly domestic clean, the description might say: weekly maintenance clean for agreed kitchen, bathroom, living areas and bedrooms on the service date, excluding oven, internal windows and laundry. Payment due within the agreed term by bank transfer.

For a one-off office clean, the description might say: one-off office reset clean for agreed desks, kitchenette, toilets, touchpoints and vacuuming, based on access notes provided before the visit. Consumables and periodic extras excluded unless listed separately.

Template cautions

Templates help you stay consistent, but they should be adapted to your business name, payment terms, VAT status, refund or cancellation terms and the exact service scope. Do not copy wording that promises outcomes you cannot control.

Common questions

What should a cleaning invoice include?

Include business name, client details, invoice number, date, service description, amount due, payment terms and any VAT wording only where VAT status is confirmed.

Should I put VAT on a cleaning invoice?

Only include VAT wording if the business is VAT registered and you know the correct invoice requirements. If VAT status is not confirmed, do not add VAT language just because a template contains it.
